Purpose


Netalux is aware that the privacy of its prospects, customers, suppliers, and the protection of their personal data are important. This privacy policy explains how we handle the personal data we collect and how these data are processed. This enables us to pursue an open and transparent policy, and that our prospects, customers and suppliers are aware of our privacy policy.


This privacy policy will be updated if necessary. The version on the website will be updated accordingly.


In accordance with the General Data Protection Regulation, Netalux will pay particular attention to the following principles when processing personal data:


  • Netalux has an open and transparent data processing policy.
  • The personal data collected will only be used for the purpose for which it was collected.
  • No more data will be collected and processed than is strictly necessary to achieve the purpose.
  • The personal data collected will not be kept longer than necessary.

Categories of personal data


Netalux collects 'regular' personal data from its prospects, customers and suppliers, more specifically the categories of personal data listed below:

  • Personal identification data (name, title, address, e-mail, telephone number)
  • Financial identification data (bank account numbers, VAT numbers)
  • Electronic data (cookies)



Recipients of personal data


The personal data we collect from prospects, customers and suppliers is for internal use only. Only internal Sales employees and the Sales Technician(s) subcontractor(s) have access to it.


The personal data collected and processed by Netalux are not passed on to third countries or international organisations.



Purposes of processing personal data


Netalux sees to it that only those personal data are collected that are necessary for the purpose. The collection of personal data can be subdivided into the following processing purposes:


  • Prospect and customer management
  • Supplier management
  • Direct Marketing
  • Access control



Legal grounds for processing personal data


Netalux relies on the following legal grounds for the processing of personal data, depending on the situation:


  • Justified interest of the data controller Netalux
  • Consent of the person concerned
  • Necessity for the vital interests of the person concerned
  • Necessity for the performance of a task in the public interest



Data retention period


Netalux only retains personal data for the period necessary to achieve and fulfil the above processing purposes (unless a longer retention period is required or justified by legal grounds for processing).



Rights of the person concerned


Each resident of the EU enjoys the following rights with regard to their own personal data:

  • right of correction
  • right of erasure 
  • right to limit processing 
  • right to transferability 
  • right to object to processing based on legitimate interest, processing for direct marketing and profiling, and processing for scientific or historical research or statistical purposes not in the public interest 
  • right to oppose decisions based solely on automated processing operations 
  • right to lodge a complaint with the supervisory authority


Netalux respects these rights and will implement them when necessary. Consequently, any person from whom Netalux collects personal data, may at any time request these data, have them corrected, have them erased or have their processing stopped. If you are of the opinion that Netalux is processing data unlawfully, you can always lodge a complaint with the Belgian Data Protection Authority.



Security of personal data


Netalux makes every effort to guarantee the confidentiality, integrity and availability of data at all times. Confidentiality means that the data is not made public or ends up with people for whom it is not intended. To this end, files containing personal data are stored digitally in folders to which only authorised persons have access. The paper files are kept in a locked cabinet. Integrity means that the data may not be wrongfully altered or erased. To this end, clear instructions are given to the Processors. Availability means that the data will not be lost and can be processed when needed. To this end, regular backups will be made of our digital files.


The security system will be evaluated at least once a year during the meeting of the Board of Directors.


For further security measures we refer to our cloud providers: Box, Slack and Microsoft Dynamics. All our files are stored on Box, Slack is our internal communication app, and all our customer and supplier data is entered in Microsoft Dynamics (ERP-system).
